We are in Construction area and we are seeking a motivated, service-oriented Administrative Assistant to join our team You will be responsible for recording and maintaining the company’s daily financial transactions. These responsibilities will include preparing payroll reports, generating invoices, and making payments to our vendors. The office assistant administrator will also help in ensuring smooth running of our company’s office. Review and organization of documents which include filing in their proper locations. Assist with bookkeeping and record keeping activities. Good phone communication skills are a must as you will be on the phone in contact with the Subcontractors. Must be proactive self-starter that can respond positively to temporary challenges.

************Perform duties to include, but not limited to:
• Respond to phones, email, vendor management, invoicing, etc
• Arrange for vendor services as needed.
• High level of organization and attention to detail with Documenting transactions.
• Prepare responses to correspondence containing routine inquiries via e-mail or written correspondence. File and retrieve organizational documents, records, and reports.
• Will assist with in Accounts Payable and Accounts Receivable by conducting Invoicing
• Sending Bid invitations to the Subcontractors we work with.
• Follow up will be bidding on the projects and make sure that we have quotes on each trade.
• Contact with our field personal in regards to ordering calling for and following up on inspections and ordering job materials.
• Filling out permit applications and opening binders for all projects.
***************************Skills:
**Administrative roles or other related fields in a construction office/environment
**Familiarity with office management procedures and basic accounting principles
**Ability to operate standard office equipment, including but not limited to, computers, telephone systems, calculators, copiers, and faxes. Must be proficient in Excel, Words.
**Bookkeeping Experience with Quickbooks.
**Bi-Lingual English and Spanish.
