With overall responsibility for providing a range of administrative and customer support to the Captain, Chief Mate, and wider Deck Department. This role plays an integral part in ensuring the smooth running of the Deck operation as well as all onboard departments and operations.
The Administrative Specialist is a fully qualified member of the ship’s crew and deck department gaining practical managerial experience on the deck, steward, or purser career paths. The company encourages and pays for career training for all members of the deck department, including STCW and event management certifications.
The career path of an administrative specialist leads to the position of a licensed junior purser, or a deck career professional.
As the Administrative Specialist, you will be responsible for the day-to-day administration of paperwork, and undertake diary management, such as arranging meetings. You will play an active part in coordinating charters and events, ensuring they run in a smooth and professional manner. You will be responsible for bridge record-keeping, departmental purchasing, and coordination of the captain’s activities and communications across the entire scope of the captain’s responsibilities.
As a representative of the Deck team, you will work during many of the event charter operations and onboard events with the captain and interact with passengers as a passenger service crew member and event manager as part of regular work duties, in addition to attending formal meetings and writing up detailed minutes to ensure an accurate record is held.
Attention to detail is paramount in ensuring paperwork such as reports, schedules, programs, manuals, and certificates are correctly processed and filed as directed. You will also be responsible for maintaining safety-related departmental records and updating all relevant Fleet regulations along with sign-off sheets.
To be considered a suitable applicant for this role you will possess:
- Previous experience of working in a clerical environment
- Event management experience is desirable
- Proficient in the use of MS Office Software especially Word and Excel
- Strong administration skills
- Experience of working in the maritime industry (desirable)
- Good command of written and spoken English
- Competent IT skills
- Physical requirements of a seaman, participation in random drug test screening, and obtaining a Coast Guard Medical Certificate
